A guide for using Koha for Library staff members.

Logging in

How to log in to Koha

On your web browser, type libstaff.library.hccc.edu. On the work computers, the Koha browser will be ready on the desktop with a "K" icon or a Firefox logo that says "KOHA Staff".

Login: HCCC username and your HCCC ID number is used as a password.

Ex:

John Smith = jsmith@hccc.edu OR jsmith1234@live.hccc.edu (if applicaple)

HCCC ID#: 0011234 (Password can also be changed in the user settings.)

If you work at both Libraries during the week you can set which Library you are in at the login screen.

Navigating the site

This is what the homepage should look like for staff.

The top bar give you easy access on basic Library tasks.

 

The top right gives you a drop down menu setting for your account.

 

If you did not set which Library you are in at the login page, you can do so in the homepage by clicking "Set Library" and choosing which Library you are currently working at.

Choosing "My account" give you your personal profile page. Here you can update your profile information and password."

Item processing

Checking in items

The top bar provides quick checking in of books and other items. Choose the "Check in" tab, scan its barcode, and click "Submit".

OR you can click on "Circulation" in the main homepage which gives you further options.

Clicking the "Check in" link gives you a similar format as the top bar.

This will give a prompt summary of the action.

To check in multiple items, continue scanning each item at the "Check in" box above or at the top bar.

A short message will be given when checking in a book that belongs to another Library. Here, a staff member in the Gabert Library is checking in a book that is to be returned back to North Hudson Library.

Checking out items.

You can do the same process in the top bar for quick access. Click "Check out'" and you can either enter the patron's name or scan their HCCC ID card. Make sure all HCCC IDs have the current semester sticker on the card.

From there, you can scan the item(s) needed to be checked out.

Click "Show checkouts" and be sure to click the "Always show checkouts immediately" box to see all transactions.

To check out multiple items, continue scanning each item at the "Checking out" box above or at the top bar.

Renewing an item.

To renew an item, you can use the quick access bar at the top and click "Renew".

Or you can click on the Circulation in the main homepage and click Renew.

A confirmation prompt will appear after clicking "Submit".

You can also renew an item through a patron's profile by checking under the "Renew" column and clicking "Renew or check in selected items" or "Renew all".

Patrons

Adding patrons

To add a new patron, go to the main homepage and click "Patrons".

Click "New patron".

Most of the time it is the new students that are added to the Library system. Click on "HCCC Students" in the drop down menu.

Fill in all the student's information up to "Library management" and click "Save" when finished.

Should the following dialogue prompt appear, and the patron is not a duplicate, choose "Not a duplicate". To take a second look and make changes, click "It is a duplicate" or "View existing record".

Searching for patrons

To search for patrons you can use the quick access bar at the top and click "Search patrons" and enter the card number or the name of the patron you are searching for.

Or you can click on "Patrons" in the main homepage.

In doing so you can search for a patron by the first letter of their last name.

Searching for the first name, last name, or both can help narrow down your search.

Click on the patron's name to bring up their profile and other Library transaction details.

Renewing a patron's items.

You can also renew an item through a patron's profile by checking under the "Renew" or "Check in" columns and clicking "Renew or check in selected items" or "Renew all". Make sure all checkout transactions are visible by clicking the "Always show checkouts immediately" box.

Editing patron card numbers

New students are usually entered into the Koha system using only their HCCC ID# and not the barcode on their HCCC ID card. For all transactions on Koha the barcode attached on their ID card is required. Checking out items to new students will usually give you the following dialogue:

When this happens, ask for the patron's name and/or HCCC ID#. Review with the patron if their information is correct. Then click "Edit". 

The edit page will give you required information needed to edit a student's information. Scroll down to the "Library management" section and replace the ID number written on the "Card number" space with the barcode.

Replace the student ID number with the barcode on the back of the student's ID card.

Save the student's information when finished.

 

Item search

Searching for an item

Use the quick access bar at the top and choose "Search the catalog" to search for books and DVDs by its full or partial title.

This brings up search results along with the item's location and call number to the right.

Click on the item most relevant to your search to view its summary and details.

Advanced item search

To do a more advanced search, go to the main homepage and click "Advanced search".

This will give you more options on narrowing down your search.
