A guide for library staff technology training.

How to login?

1. On the desktop of any work computer, click the icon "KOHA Staff".

  Alternatively, you can open any web browser and type in the URL https://libstaff.library.hccc.edu/.

 

2. Login: Username is your HCCC email and the default password is your HCCC ID number. 

For example:
John Smith's username: jsmith@hccc.edu OR jsmith1234@live.hccc.edu (if applicable)
HCCC ID#: 0011234 (Password can also be changed in user settings.)

If you work at both Libraries during the week, please remember to set the Library you are in at the login screen.

Or after you login in, click your name in the upper right corner and switch to the Library you're working in. 

Check out items.

1. Select the tab Check out, and scan the patron's barcode into KOHA.

After you log into KOHA, you will see a tab called check out. Click this tab and scan the barcode located in the back of a students id into it.

2. Scan the barcode for every item to be borrowed.

Generally, the barcode is located at the bottom of each item. Scan the barcode one-by-one and check the Checkouts area to make sure each item is scanned in system.

3. Inform the patron about the due date.

Afterwards, you'll receive a notification under the form telling you the due date. Please remember to stamp the due date in the back of the book, or write it down for the patron.

Check in items.

1. Scan the Item's barcode into KOHA.

After you log into KOHA, you will see a tab called check in. Click the tab and scan the barcode for each item.

2. Check the confirmation page to make sure every returned item is scanned in system.

Renew an item within KOHA.

1. To renew an item, you can use the quick access bar at the top and click "Renew".

Or you can click on the Circulation in the main homepage and click Renew.

2. Scan the barcode(s) of the item(s) to be renewed. A confirmation prompt will appear after scanning.

To renew multiple items for the same user, you can scan the patron's library code to view his/her profile, check the items to be renewed under the "Renew" column, and click "Renew or check in selected items" or "Renew all".

Create a new patron account.

Attention:

Most patrons should already have their own library account in KOHA. Before creating a new library account, please check if there is an existing account in KOHA Patrons. Here are how-to:

1. After logging in KOHA Staff, click "Patrons" from the Home page.

2. Search by the patron's first and last name in the search box.

In some cases, there are multiple patrons with the same name. We can verify the patron's HCCC ID and address.

3. Search by the patron's HCCC ID. From the same search patrons box, type in patron's HCCC ID and click Search button.

 

If no matched result is found, please follow the steps below to create an account.

1. Click "+ New patron".

2. Select the type of patron from the drop down menu.

3. Input information about the patron and Click Save button.

All required fields must be filled with correct information. Card number is the barcode that you attach to the back of a students id.

Please make sure to enter the patron's HCCC email in the section "Contact Information" and also the section "OPAC/Staff Interface Login". The password should be set to the patron's HCCC ID.

Duplicate patron record?

Should the following prompt appear and you know for sure that the patron is not a duplicate, choose "Not a duplicate. Save as new record".

To take a second look, click "View existing record". Ask the patron if the existing account belongs to him/her.

To make changes, click "It is a duplicate. Edit existing record".

Add a barcode to an existing students account.

A new patron may not have library card number yet. If you notice it, please attach a barcode to the patron's ID and update the patron's KOHA profile accordingly.

1. Search the patron's name, email, or 7 digit id number in KOHA.

2. Review the profile with patron to make sure all information is correct. Then click "Edit".

3. Scroll down to the "Library management" section, and scan the attached barcode into the box for "Card number".

4. Save the student's information when finished.

Transfer an item between libraries.

1. After logging in KOHA, click "Transfer" at the Home page.

2. Select the Destination library and scan the barcode of the item to be transferred into the "Enter barcode" area.

A confirmation prompt will appear after Scanning an item.

Search for an item in KOHA.

1.Use the quick access bar at the top and choose the tab "Search the catalog".

2. Search for books, DVDs or other items by title or other keywords.

This brings up search results along with the item's location and call number to the right.

3. Click on the item most relevant to your search to view its summary and details.
